Before saving any lead, the system checks email address, company name, and phone. Existing leads are never duplicated.

Leads are tagged by type: Hospital, Hospice, Rehab Center, Nursing Home, Home Health Agency, and 5+ more categories.

AI writes First Outreach, Follow Up 1/2/3, and Reply emails tailored to each lead's business type and location.

Select a lead in Compose, choose email type, and click 'Generate with AI'. Done in seconds.

Every AI-generated email is saved as 'Pending Approval'. An admin must review and approve before anything is sent.

Gmail inbox is scanned regularly. Every incoming email is checked against your CRM lead list by email address.

When a known lead replies, AI classifies intent (Interested, Meeting Request, Not Interested, etc.) and updates their CRM status automatically.

All emails sent via Gmail are logged to the Sent page and the lead's activity timeline.

From Compose, schedule +2, +5, or +10 day follow-ups with one click. The system sets the follow_up_date on the lead.

Every weekday at 9 AM ET, the system checks for leads with no reply after 5 business days and generates AI follow-up drafts for review.

When follow-ups are sent, leads automatically progress from 'Contacted' → 'Follow-Up' → 'Interested' based on reply classification.

Staff use Apollo Search and Lead Finder to discover and import verified leads. They create email drafts for review.

Admins review all Pending Approval drafts in the Drafts page. One click approves and sends via Gmail.
